Terms and Conditions
Game administration is done by the game designer for a specific game, who manages bookings and confirms casting for roles. Game fees are paid directly to them. Pennine Megagames is run on a not-for-profit basis and game designers use the income to cover costs, including research and promotional materials, game components and resources, refreshments and venue hire. They also pay a small admin fee to Pennine Megagames to cover administration costs.
Registering for Games
To express interest in a game, potential players must contact the game designer through the link on the individual game page. Potential players are welcome to express a preference for role or team, but we cannot guarantee any specific role or casting arrangement. Expressing interest does not guarantee a place on the game, as game spaces are limited.
Group registrations of interest are only accepted with the full name and email address of all potential players in the group.
Once game bookings open, eligible players will be contacted to pay a £10 non-refundable deposit. Closer to the game, players will be contacted to pay the balance, with a deadline. If payment is not made by the deadline, the player will be removed from the player list and their spot offered to someone on the waiting list.
Cancellations
Late notice cancellations can be very frustrating for designers who may need to rewrite parts of the game or reassign player roles.
Players who discover they are no longer able to attend a game should inform the designer as soon as possible.
If the full game payment has been made, and a player cancels more than 2 weeks before the game, a £10 refund will be given, less any Paypal costs. For cancellations within two weeks of the game, no refund will be given.
We reserve the right to assign non-critical roles to players who frequently cancel last minute, or to keep them on the waiting list.
Casting and Roles
We encourage players to express preferences for specific or general roles, to increase the chance that we can place them in positions they will enjoy., however we cannot guarantee that we will be able to cater player preferences. We also try to group players, especially first-time players, with at least one other person they already know.
Game Day
Game designers will communicate the start and finish times of the game to participants in a timely manner. Players are responsible for arriving at the venue on time and making themselves available for the duration of the game. We cannot delay or pause the game for individual players.
